Hybrid Communication Norms
This workshop helps hybrid and distributed teams replace friction-causing habits with explicit, shared communication norms. Participants ground the work in research on hybrid work's persistence and the "Burnout Triangle," then move across three levers: individual preferences, team norms, and meeting habits. They use the Speed/Detail/Accuracy framework and a self-check (Overall, Context, Empathy, Process) to decide which tool fits which message, apply the Rider and the Elephant model to lead colleagues through the discomfort of changing habits, and practice Think/Pair/Share and creative meeting design to make new norms stick. A set of appendix tools and templates, built around Cardflight's hybrid/return-to-office transition, generalizes to any team negotiating communication expectations across in-person, remote, and cross-functional relationships. Throughout, participants work individually, in pairs, and in small groups, closing with a personal, time-bound commitment to change one habit.

Introduction: Hybrid Communication Norms
4 exercises · ~30 minThis introductory module frames a workshop on hybrid communication norms. Participants read an article on "hey hanging" (the anxiety-inducing habit of sending a bare "hey" instant message and waiting for a reply) to prime thinking about small habits that cause friction in remote and hybrid work. They then preview the workshop's three focus areas???individual communication preferences, team norms, and hybrid meeting habits???and check in by sharing examples of hybrid communication behaviors that worked well and ones that didn't, along with their personal goals for the session.

Data
5 exercises · ~22 minThis module grounds hybrid-work communication norms in research data, walking participants through findings on hybrid work's persistence since 2020, the comparison of remote-work struggles between 2020 and 2023, and the specific challenges of communication and belonging in distributed teams. Participants review this data to understand why hybrid relationships are struggling and connect it to the "Burnout Triangle" as a framework for setting team communication goals. The module uses this research base to motivate the norms and practices covered elsewhere in the Hybrid Communication Norms program.

How to Talk About Talking (Individual Preferences)
9 exercises · ~70 minThis module helps teams get explicit about how and why they choose different communication tools, and how individual preferences shape what "good" communication looks like. Participants use a Speed/Detail/Accuracy framework to map expectations for tools like phone, Slack/chat, video call, email, and shared wikis, then build personal "when to use" guidelines for their team. Through individual reflection and small-group sharing exercises (including an "I Love It When / I Hate It When" activity), participants surface their own attention and interruption preferences and compare notes with teammates to find patterns and points of friction.

Changing Communication Habits
5 exercises · ~55 minThis module teaches participants how to lead colleagues through the discomfort of adopting new communication habits, using the "Rider and the Elephant" model (conscious reasoning vs. automatic, emotional response) to explain why logical arguments alone don't drive behavior change. Participants learn concrete tactics for engaging the "elephant" ??? storytelling, surprise, visual contrast, curiosity, and social proof ??? and practice the Think/Pair/Share structure as a way to apply social learning in meetings. The module concludes with an exercise where participants design a creative meeting from scratch, defining its goal, roles, warm-up, creative exercise, discussion plan, and success criteria, then pressure-test it with a partner.

Team Norms: Virtual Collaboration
4 exercises · ~35 minThis module helps teams build shared norms for virtual and hybrid communication. Participants first learn a set of self-check questions to apply before sending any digital message (covering tone, timing, empathy, and review process), then work in teams to map out how and when to use tools like email, Slack, and video meetings. Through structured team discussions and a breakout exercise, participants identify productive and unproductive behaviors for each tool, decide which communication channel fits different needs (asking questions, giving feedback, resolving conflict, celebrating wins), and commit to team norms with clear ownership for follow-up.

Closing
1 exercise · ~10 minThis closing module helps participants consolidate what they've learned across the Hybrid Communication Norms workshop and turn it into action. Participants review a recap of the workshop's tools???Check-in, Individual Preferences, Team Norms, "Where do we go to...", Rider and the Elephant, and Observe Shifts???each paired with when to use it and what it produces. They then commit publicly to one tool or concept they will implement, stating when and where they'll try it, and share a specific one-sentence commitment for the next 30 days with the group.

Hybrid Comm Appendix: Discussion Tools
12 exercises · ~170 minThis module provides a set of discussion tools and templates for building team-specific communication norms in a hybrid or location-neutral work environment. Participants work through structured exercises to define boundaries for email and Slack, set expectations for tone and response times across mediums (Slack, email, Google Docs, video meetings, phone/text, in-person meetings), and build cross-functional agreements using "Tool C: How to Talk With Us / How to Learn About Us." Practice includes a self-reflection questionnaire on hybrid work preferences (Tool A), team norm-setting discussions (Tool B), and live breakout practice negotiating cross-team communication expectations. The content is built around Cardflight's hybrid/return-to-office transition, and the tools and templates generalize to any team establishing communication norms across in-person, remote, and cross-functional working relationships.
